Status Workflow

Posts move through a series of statuses as they're created, reviewed, and published:

Draft Pending Approved Scheduled Posted
Status Who Can Change It Next Steps
Draft Creator Edit content, submit for approval, or schedule directly
Pending Approval Owner, Collaborator Review and approve, or request changes
Approved Owner, Collaborator Set scheduled date/time
Scheduled Owner, Collaborator Copy content and post, then mark as Posted
Posted - View in Post-Mortem, consider for evergreen
Rejected - Returns to Draft for creator to revise

Approval Process

When working with a team, posts go through an approval workflow:

For Content Creators

  1. Create your post as a Draft
  2. When ready, click Submit for Approval
  3. Post moves to Pending Approval
  4. Wait for reviewer to approve or provide feedback
  5. If changes requested, edit and resubmit

For Reviewers (Owners/Collaborators)

  1. Check the Approval Queue for pending posts
  2. Review the post content, media, and scheduling
  3. Click Approve to move to Scheduled, or
  4. Click Request Changes with feedback
  5. If rejected, post returns to creator as Draft

Skipping Approval: Owners and Collaborators can schedule posts directly without going through approval. Viewers always need approval.

* Viewer posts must be approved before scheduling

Scheduling Posts

Set when your posts should go live:

Setting a Schedule

  1. When creating/editing a post, find the Schedule section
  2. Select the Date using the date picker
  3. Select the Time for posting
  4. Choose the Post Type (Feed, Story, Reel, etc.)
  5. Save the post

Best Times to Post

General guidelines (adjust for your specific audience):

  • Instagram: 11am-1pm and 7pm-9pm local time
  • TikTok: 7pm-9pm, especially Tuesday-Thursday
  • Facebook: 1pm-4pm on weekdays
  • Twitter: 8am-10am and 12pm-1pm
Tip

Check your platform analytics to find when YOUR audience is most active, as it varies by niche and location.

Troubleshooting

Approval queue is empty but I have pending posts

Solution: The approval queue only shows posts pending YOUR review. If you're a Viewer, you can see posts but not approve them. Check your role in Team settings.

Can't schedule a post directly

Solution: Viewers cannot schedule directly and must submit for approval. If you need direct scheduling access, ask an Owner to upgrade your role to Collaborator.

Post stuck in Pending Approval

Solution: Either wait for a reviewer, or if you have Owner/Collaborator access, go to the Approval Queue and process it yourself.
